How to save hours working on databases

Your P.A has just spent five hours typing up a new database. Uh, oh. One field has the first and the last names in it. But you wanted to do a mail or email merge with the first names only!

While 99 out of 100 people will fritter away countless hours manually retyping in the information or manually fixing it, here's a great tip when you face this dilemma or one similar (when you want to separate data within a column)..

The answer lies in Excel and it’s a simple three step Wizard, and it's called Text to Columns. 

  • Select your Data drop down menu.
  • Select Text to Columns data>text to columns
  • Highlight the column that you want (and make sure you have a lot of empty columns to the right of it so you don't write over information already there).
  • Delimited will appear selected.
  • Hit Next.
  • Select space (this will mean every time there is a blank space, the information will be put in a new column).
  • Hit Next, then hit finish!

Voila. Literally hours of work saved by the push of a button.
